FAQs

Welcome, and thank you for supporting school leadership in Western Australia. Use this checklist to ensure you’re fully prepared for the WAPPA Conference. Please share this information with all members of your team.

  1. Booth Setup & Logistics
  • Advans booth package includes: 1 trestle table (with black cover), 2 chairs and fascia signage. Each exhibitor must fill out page 5 (fascia signage requirements) of the Advans Booking Form. If you wish to purchase additional items, review the Advans Catalogue.
  1. Virtual Booth (VFAIRS)
  • Watch out for an email from VFAIRS with virtual booth setup instructions.
  • Upload your files, links, and graphics to your virtual booth.
  • Use the app to scan delegate lanyards for PrizeWorld entries.
  1. Register Your Exhibitor Representatives

Each exhibitor package includes 2 complimentary registrations. If you have more than 2, each additional representative will be invoiced.

Additional representative pricing:

  • Full Access Pass (includes all social events)  $650 +GST per additional representative
  • Restricted Access (Exhibitor Hall only) – $350 +GST per additional representative
  • Gala Dinner Ticket Only – $290 +GST per person

To register, complete the Exhibitor Representative Registration Form and provide details for each representative that will attend the conference:

  • Full name, job title, email, mobile number
  • Days attending (Wed, Thurs, Fri)
  • Dietary requirements
  1. Delegate Bag Inclusions
  • Send 450 small gifts or brochures to WAPPA by 15 August by noon. 
  • Send to WAPPA Business Centre: 440 Vincent Street West, West Leederville WA 6007
  1. PrizeWorld
  • Fill out the PrizeWorld Form to participate.
  • Display your prize at your booth.
  • Scan delegate lanyards using the VFAIRS app to collect entries.
  • Present your prize at the lunch in the main plenary room on the final day.
  • If running your own competition, you’re responsible for managing it and awarding the prize.
  • Note: Delegate prizes should be appropriate for school use, not personal gifts.
  1. Accommodation at Crown Perth
  • Crown Perth have three hotels. We recommend you review each of their accommodation rates online to seek the best available options for your needs.
  • This year, we have WAPPA Discounts on hotels, but we advise you check the specials on Crown Direct to compare pricing.

  1. Online Info Session

Date: Thursday, 31 July 2025
Time: 9:30am (Perth time)
Meeting Link: A link will be sent out to all conference attendees closer to the date.

Agenda: Booth setup, deliveries, bump-in/out, program timing, PrizeWorld, Gala Dinner, conference app, do’s and don’ts, delegate bags.

  1. Advans Booth Setup / Bump IN and Bump OUT

Advans Exhibition Services has been appointed to construct and coordinate the display stands for the conference at the Crown Complex.

Loading Dock: Delivery of goods as per the information in the Crown Perth Exhibition Manual.

Crown Perth will only accept these on Monday, 25 August or Tuesday, 26 August 2025. Do not send any earlier.

Bump IN: Advans will complete the stand builds by 2pm on Tuesday, 26 August 2025. Please do not come any earlier than 2pm on this day to access the stands as we will not be able to grant this.

Bump OUT: All stands must remain set up until the completion of Morning Tea on Friday, 29 August 25 from 12 noon onwards. *We do have over 30 delegates who register to attend on the Friday only and this morning tea session is the only chance they have to see your stand.

  1. Gala Dinner Seating

Exhibitors attending the Gala dinner on Thursday night will be seated in pairs across all the delegate tables. This give you a chance to meet and chat with delegates in a fun and casual setting. We will advise you of your seating arrangement before conference. 

  1. Exhibition Times 

The Exhibition Hall will be open starting at 7:00am and during Morning Tea/Lunch on a daily basis. Delegates will have access to the Exhibitor room during these times only. Wednesday’s program includes a Sundowner in the Exhibition Hall from 4:15pm – 6:15pm. Please stay for a drink and casual mingle with the delegates. Thursday’s program will include the WAPPA Gala Dinner starting at 6:45pm in the Ballroom.

Will we need to have staff on our booth from 7am when the Exhibition Hall opens until 3:30pm when the conference sessions end?

Yes, 7am is when delegates can enter the hall and get coffee at the carts inside the exhibition hall. Wednesday is the Sundowner which is held in the exhibition hall from 4:15 – 6:30. It’s a good opportunity to mingle in a more casual setting, but not mandatory. Thursday will finish at 3:30 with the Gala Dinner in the evening (2 reps can go) and Friday finishes at 3pm.

During session times, delegates may come into the exhibitor hall, if they choose to step out of the plenary sessions. Some may be getting a coffee and others do like to come talk to exhibitors when it is a bit quieter. Our experience is that it does happen but the volume that do, isn’t large. For you to maximise all opportunities, you may want to consider having at least one person staying around the booth area but the staffing scheduling is completely up to each organisation to manage.
